Description:

The base service works well for larger agencies with internal staff available to support their SharePoint initiatives. Base service includes hosting of agency SharePoint solution including initial portal and site collections templates. The agency is responsible for all administration and support of agency site collections.

VITA is responsible for support of the Microsoft environment, governance and best practices, communications to customers, and incident handling.

How to Order

Effective 12/15/18, this service can be ordered from the VITA Service Catalog in the new VITA Service Portal. To submit your request:

  • Customers who have Commonwealth of Virginia (COV) accounts (including executive branch agencies) should access the VITA Service Catalog via the VITA Service Portal to place service requests using the automated form provided in the catalog.
  • Customers who do not have COV accounts (including some local government customers) or customers who are unable to gain access to the portal may order the service by sending an e-mail to the VITA Customer Care Center (VCCC) services desk at vccc@vita.virginia.gov. Please include the following information:
    • The words "Service request" in the "Subject" line
    • The name of the service being ordered
    • The quantity desired (if applicable)
    • Any other information you deem relevant

If you are uncertain as to whether you have a COV account, start by trying to access the VITA Service Portal. If you are unable to do so, then use the email-to-the-VCCC method.

Customers should begin the process by communicating an interest in the service offering to the assigned customer account manager (CAM) for their agency. The CAM will guide customers through required forms for the service offering and engage the service owner as required. Forms are located on the IT Service Catalog Forms Library.

The initial service includes standard SharePoint Online. The initial service offering includes pricing for the enterprise SharePoint subscription. The enterprise subscription provides features for any end user accessing enterprise SharePoint services. The service is available to members of the Commonwealth of Virginia (COV) domain; Windows authentication will be used to gain access to SharePoint services.

The initial service offering available to customer agencies includes the following:

  • Governance
  • Best practices
  • Implementation of SharePoint Online
  • Management and administration of SharePoint Online
  • Support and maintenance of hosted sites

Two options are available:  Base service offering and Full service offering

  • The base service offering includes subscription access to agency SharePoint solution including initial portal and site collections templates.  The agency is responsible for all administration and support of agency site collections.
  • The full service offering includes base service offering features along with support and administration of site collections with resources provided by VITA WCS team.

All agencies that authenticate against the COV active directory are eligible for the service. WCS has seamless integration into the COV Active Directory. The delivery of these capabilities will be realized via the Microsoft SharePoint Online platform. The primary market is in-scope executive branch agencies. Customers have the option to become full service or base service users.

WCS will improve worker efficiency while reducing IT overhead by providing a standardized and scalable collaboration service for agencies to address the business and productivity needs of COV information workers.  The service can address the following for customers:

  • Cut down on email attachments thus freeing up additional mailbox space
  • Utilize search feature to provide the ability to engage employees, partners and customers in an effective manner
  • Increase collaboration among work groups
  • Provide tighter integration with other Microsoft products to help solve business problems
  • Eliminate file shares utilized for information sharing
  • Provide a common method and set of techniques for managing information
  • 40 to 60% of office staff time is spent on managing content
  • 7.5% of all documents get lost; 3% of the remainder get misfiled
  • Professionals spend 5 to 15% of their time reading information, but up to 50% of their time looking for it
  • Companies spend $20 in labor to file a document, $120 in labor to find a misfiled document and $220 in labor to reproduce a lost document

 

Optional training is available for a cost for new and existing customers. Training consists of instructor-led training and online training. Instructor-led training is available at CESC, as well as, agency sites in the Metro Richmond area and are based on availability. Instructor-led training held at agency sites must include a minimum of five participants. Training can be obtained by completing 1-054 request form and Attachment A, available in the Service Catalog Form Library.

Each customer must have a primary and secondary point of contact. For base service offering customers, these contacts will serve as site collection administrators and provide support for existing agency users. For full service offering customers, the primary point of contact will provide direction and decisions for all agency SharePoint users. VITA will serve in the capacity of site collection administrators and provide support for full service customers.
